Admissions Processing Specialist
Purpose of Position and Scope of Responsibility:
The Admission Processing Specialist plays a key operational role in supporting Bethel University’s enrollment initiatives by ensuring the accurate and timely processing of prospective and admitted student records. The position coordinates application review, transcript processing, admission decisions, document management, data integrity, registration preparation, and student onboarding activities while supporting the University’s enrollment goals.
As a specialized member of the Office of Admissions, the Admission Processing Specialist works closely with admissions counselors and collaborates with the Registrar, Financial Aid, academic departments, Information Technology, and other University offices to help move students efficiently from application through enrollment. The position requires a high degree of accuracy, confidentiality, organization, customer service, and proficiency with the University’s CRM, student information system, electronic transcript services, and related enrollment technologies.
Responsibilities include traditional undergraduate, transfer, international, adult degree, and graduate admission processing; academic scholarship awarding; registration coordination.
Principal Accountabilities/Responsibilities:
Application Processing
Process applications for assigned student populations, including traditional undergraduate, transfer, adult degree, graduate, and international students as directed.
Review applications and admission files for completeness, accuracy, and compliance with established admission criteria.
Determine new, returning, transfer, or readmission status by reviewing applicant information in the University’s CRM and Student Information System.
Create, update, and monitor applicant checklists based on program-specific admission requirements and communicate outstanding requirements to admissions counselors.
Evaluate applicants against established admission criteria and assist with processing admission decisions; route questionable or exception files to appropriate admissions leadership or academic review committees.
Enter academic scholarships according to approved criteria for eligible students when assigned.
Maintain accurate applicant and student information in CRM, and other University systems.
Transcript and Document ManagementReceive, review, process, and maintain high school transcripts, college transcripts, standardized test scores, identification documents, essays, resumes, military documents, and other required admission materials.
Retrieve electronic transcripts and records from approved services, including Parchment and the National Student Clearinghouse, upload to student file
Coordinate the collection of official transcripts from all previously attended institutions and identify additional institutions when supported by authorized student-record systems.
Review academic records and grade-point averages for admission eligibility according to established University criteria.
Admission Office SupportSupport Admissions Office operations by submitting purchase requisitions, maintaining and monitoring inventory of office supplies, including paper and toner, and operating and maintaining office equipment necessary for daily departmental functions.
Participate in Admissions staff meetings, professional development, training, and University enrollment activities as needed.
Perform related accountabilities/responsibilities as required or directed.

Physical Requirements:
Work requires the physical demands of standing, bending, lifting, stooping or performing other work requiring light physical exertion (up to 30 pounds) on an occasional basis (up to 15% of time) and frequent walking; or moderate physical exertion (up to 50 pounds) on an intermittent basis (not a routine part of the job).
Environmental Conditions:
Work is performed under basically normal working conditions as in a standard office environment.
