Telecommunications Representative (temporary position)

Purpose of Position and Scope of Responsibility: The Telecommunications Representative oversees the switchboard and mailroom for the University. 

Under the general direction of Provost

Under the direct supervision of Dean of Students

responsible for 1 shift, 8 hours/day, 5 days/week.  Incumbents are subject to overtime as deemed necessary.

Principal Accountabilities/Responsibilities:

  1. Serve as the primary point of contact for incoming and outgoing telephone communications for the University, including coordinating and facilitating multi-party conference calls. Provide accurate information and respond to general inquiries regarding campus services, programs, and operations.
  2. Maintain current and accurate university contact information and related records. Update extension listings and other directory data through established database systems, ensuring information is organized and up to date.
  3. Utilize available communication and information systems to route calls appropriately and efficiently. Research and provide directory assistance to internal and external stakeholders in accordance with university policies and procedures governing information disclosure.
  4. Demonstrate sound judgment and discretion in handling confidential and sensitive information. Adhere to all University and departmental policies related to privacy, confidentiality, and data security when assisting employees, students, and members of the public.
  5. Supervise daily mailroom operations, including sorting, distribution, and shipping of incoming and outgoing mail and packages. Ensure timely processing and accurate delivery while maintaining compliance with institutional procedures.
  6. Perform additional duties and responsibilities assigned to support departmental and institutional operations.

1 year of mailroom, shipping/receiving, or logistic operations

Physical Requirements:

Work requires light physical exertion (up to 30 pounds) on a frequent basis (up to 50% of time) or continuous walking; or moderate physical exertion (up to 50 pounds) on an occasional basis (up to 15% of time); or heavy physical exertion (over 50 pounds) on an intermittent basis (not a routine part of the job).

Environmental Conditions:

Work involves intermittent to occasional exposure to unpleasant working conditions or undesirable elements; may involve some contact with potentially hazardous or harmful elements in providing administrative or support services.
