Visual & Performing Arts Admissions Coordinator

Reports to: Director of University Admissions

Purpose of Position and Scope of Responsibility:

The Visual & Performing Arts Admissions Coordinator plays a key role in supporting Bethel University’s enrollment initiatives by recruiting talented prospective students for Bethel’s visual and performing arts academic programs as well as the Renaissance Performing Arts Experience. As a specialized member of the Admissions team, this position collaborates closely with the academic departments as well as the Renaissance directors and staff while reporting directly to the Director of University Admissions.

The Coordinator focuses on relationship-building, outreach, and program-specific engagement to identify and connect with students who have interests in the visual arts, vocal and instrumental music, music production, music business, music education, theatre, and video production. This role is responsible for coordinating visual arts, music and Renaissance-related recruitment activities, including audition days, school visits, campus events, and communication through the CRM.

This position involves regional travel and requires evening and weekend availability for events and performances.

Principal Accountabilities/Responsibilities:

Recruitment and Outreach

  • Collaborate with Admissions, Academic Departments and Renaissance staff to identify and engage prospective students interested in Bethel’s visual and performing arts programs. 
  • Represent Bethel University and the Renaissance Program at high schools, college fairs, festivals, and regional arts events.
  • Coordinate with academic department chairs, Renaissance directors and the Campus Visit Coordinator to plan and execute campus visits, Renaissance Audition Days and other performing and visual arts recruitment events.
  • Schedule and attend on-site visits to high schools and performance venues; coordinate auditions in conjunction with the academic departments and the Renaissance team.
  • Ensure a visible and engaging presence at campus-wide events including Preview Days and Orientation.

Communication and CRM Utilization

  • Maintain consistent communication with prospects interested in Bethel’s visual and performing arts programs including Renaissance via email, text, phone, and CRM messaging workflows.
  • Track student interest, audition participation, scholarship awarding and follow-up tasks in the University’s CRM system with a high degree of accuracy and detail.
  • Support marketing efforts by sharing student stories, photos, and updates from the field to be used in University and Renaissance communications.

Event Support and Campus Engagement

  • Work with the Office of Admissions, academic departments and Renaissance staff to plan and staff key events related to recruitment and auditions.
  • Assist with logistics and execution of special visits, group tours, and auditions for prospective students interested in the visual and performing arts.
  • Contribute to the evaluation and continuous improvement of University and Renaissance recruiting events and strategies.

Collaboration and Coordination

  • Serve as a liaison between the Office of Admissions, academic departments and Renaissance directors to ensure timely, coordinated, and strategic outreach to prospective students.
  • Participate in Admissions staff meetings, professional development, and training sessions to maintain awareness of University-wide policies and admissions best practices.
  • Collaborate with admissions counselors to ensure a seamless handoff for students moving through the admissions process.

Minimum Qualifications

Knowledge/Education

  • Bachelor’s degree required; preferred fields include Music, Theatre, Communications, Education, or related disciplines.

Experience

  • Strong written, verbal, and interpersonal communication skills.
  • Demonstrated ability to engage with high school students, parents, and educators.
  • Experience with CRM systems (e.g., Slate, Element451, or similar) for tracking communication and outreach.
  • Ability to manage multiple priorities, travel extensively, and work evenings/weekends during peak seasons.
  • Passion for the performing arts and a strong understanding of arts education and performance culture.

     

 

Desired Qualifications

Knowledge/Education

  • Familiarity with higher education recruiting, performing and visual arts admissions, or student engagement roles.

Experience

  • Previous involvement in or coordination of auditions, showcases, or arts-based recruiting events.
  • Background as a performing arts educator, student performer, or technician is beneficial.

 

Physical Requirements:

Work requires the physical demands of standing, bending, lifting, stooping or performing other work requiring light physical exertion (up to 30 pounds) on an occasional basis (up to 15% of time) and frequent walking; or moderate physical exertion (up to 50 pounds) on an intermittent basis (not a routine part of the job).

Environmental Conditions:

Work is performed under basically normal working conditions as in a standard office environment with regular travel for recruitment activities.
